Business Brain — Privacy Policy
The short version: your tasks and notes live on your iPhone (and, if you turn on sync, in your own private iCloud). We don't have accounts, servers that store your content, ads, analytics, or trackers. Beyond that, the only time anything leaves your device is when you use an AI feature — and even then, we don't keep it.
What Business Brain is
Business Brain is an iPhone app made by Equilibrium Marketing LLC that helps business owners offload mentally consuming tasks. You add tasks and notes, the app helps you pick a short list of what matters today, and features like priority weighting, "hats" for different roles, task breakdowns, reminders, and optional calendar blocks help you actually get things done. The app is free — no accounts, no sign-in, no subscriptions, no ads.
Because the app works this way, we collect very little. This policy explains, in plain English, exactly what happens with your information.
What stays on your device
Everything you put into Business Brain — your tasks, notes, due dates, hats, priority settings, task breakdowns, Focus Mode sessions, and preferences — is stored locally on your iPhone. We do not run a server that stores your content. There is no account to create, so nothing you write is tied to an identity with us.
If you delete the app, your local data goes with it (unless you've turned on iCloud sync, in which case your synced copy stays in your iCloud until you remove it).
iCloud sync (optional)
If you turn on sync, your tasks and notes are stored in your own private iCloud Drive so they can follow you across your own devices. That data lives in your Apple account, not with us — we can't see it, access it, or read it. Sync is merge-based, meaning changes from your devices are combined rather than overwritten. Apple's handling of iCloud data is governed by Apple's privacy policy. Sync is off unless you turn it on, and you can turn it off at any time.
AI features (Brain+)
Business Brain includes optional AI tools: "Help me get started" task breakdowns, organize-my-day suggestions, auto-categorizing notes, and converting notes into ranked tasks. Here's exactly what happens when you use one:
- When — and only when — you invoke an AI feature, the text of the relevant task or note is sent over an encrypted (HTTPS) connection through Equilibrium Marketing's relay server to a third-party AI provider, which generates the result.
- The relay exists so the app can talk to the AI provider without you needing your own API account. It passes your text through; Equilibrium Marketing does not retain your content.
- There's no account, so the text isn't linked to your name, email, or any profile. We don't use it to identify you.
- Nothing is sent in the background. If you never tap an AI feature, no task or note text ever leaves your device (aside from your own iCloud sync, if enabled).
- AI conversions of notes into tasks require your approval for each item, and requests are rate-limited.
Practical advice: if a note contains something highly sensitive, just don't run an AI feature on it — the app works fine without them.
Microphone and speech recognition
Voice capture lets you speak a task or note instead of typing it. The microphone is used only while you're actively capturing, and speech is converted to text using Apple's on-device speech recognition where your device supports it. We never record or store your audio, and no audio is ever sent to Equilibrium Marketing. iOS will ask for your permission before the app can use the microphone or speech recognition, and you can revoke it any time in Settings.
Calendar
If you enable calendar blocks, the app can create 30-minute focus events at a task's deadline plus optional lead-up blocks before it. Calendar access is only requested if you turn this feature on, and the app only creates, updates, and removes the events it made itself — it doesn't read, change, or share the rest of your calendar.
Notifications
Notifications are optional and scheduled locally on your device: a morning planning nudge, per-task reminders, and countdown reminders as a deadline approaches (escalating on the due day). No notification data is sent to us. You control notifications through iOS Settings and can turn them off entirely.
What we do NOT do
- No accounts. There is nothing to sign up for and no profile of you on our end.
- No ads. The app contains no advertising of any kind.
- No tracking. We don't track you across apps or websites, and we don't use device identifiers to profile you.
- No analytics. The app contains no analytics or telemetry SDKs.
- No selling data. We don't sell, rent, or trade your information — we don't have it in the first place.
Children
Business Brain is a productivity tool for business owners and is not directed at children under 13. We don't knowingly collect information from children — and since the app collects essentially nothing tied to any person, there's little to collect. If you believe a child has somehow provided us personal information, contact us and we'll address it.
Changes to this policy
If we change how the app handles your information — for example, if a future feature works differently than described here — we'll update this policy and change the effective date at the top. Meaningful changes will also be noted in the app's update notes. Continued use of the app after a change means the updated policy applies.
